Job Purpose

The Project Coordinator plays a key role in supporting the successful execution of projects by ensuring the accurate, timely completion of essential administrative and coordination tasks. This position provides operational support to the project team while progressively assuming responsibility for managing smaller projects, providing site and field assistance, supporting estimating activities, and, as experience grows, leading select medium-sized projects.

Responsibilities

  • Demonstrate commitment to Waiward’s incident-free vision, values, and safety culture.

  • Proactively coordinate work assignments with the Project Manager to support efficient project execution.
  • Participate in project kick-off meetings to ensure cross-departmental alignment and maintain accurate records.
  • Establish and maintain project files and documentation in accordance with company standards.
  • Review IFC drawings, revisions, and customer requests to identify scope changes and initiate CCNs as required.
  • Manage Contract Change Notices (CCNs), including documentation, cost tracking, and timely customer notification.
  • Prepare, update, and track project budgets and cost forecasts as directed.
  • Ensure customer approval of contract, budget, and change values to support timely billing.
  • Develop, maintain, and update project schedules in coordination with drafting and production teams.
  • Review incoming drawings, assign divisions, confirm schedules, and troubleshoot day-to-day project issues.
  • Compile, manage, and approve project invoicing data to ensure accurate and timely billing.
  • Maintain historical client and subcontractor performance data.
  • Support estimating activities, including material take-offs and bid preparation.
  • Audit unit price categories for assigned projects once shop drawings are issued.
  • Assist with setup and maintenance of job categories in Steelworks.
  • Support subcontractor and vendor coordination, including scope, budgets, changes, and schedule adherence.
  • Perform additional duties as assigned in support of project and departmental objectives.

Qualifications

  • Post-secondary education in Construction Management, Engineering, Business, or related discipline, or equivalent industry experience.
  • 1–3 years of experience in project coordination, construction, fabrication, or industrial project environments (structural steel preferred).
  • Ability to read and interpret structural, and shop drawings.
  • Basic understanding of structural steel fabrication and erection processes.
  • Familiarity with project controls, including scheduling, cost tracking, change management, and document control.
  • Experience with RFIs, submittals, and change notices is an asset.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP or project management software is an asset.
  • Strong organizational and time-management skills with attention to detail.
  • Effective written and verbal communication skills for internal and external coordination.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Demonstrated commitment to safety, quality, and continuous improvement.
  • Ability to work cooperatively and collaboratively with all levels of employees, management and external stakeholders.

Working Conditions

  • Hybrid working environment, combining office-based or remote working arrangements with regular attendance in the office, as dictated by operational requirements.
  • May require the incumbent to walk stairs; be outside inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

 

Physical Requirements

  • The incumbent is required to have close visual acuity to perform an activity such as viewing a computer terminal for extended periods of time, and extensive reading.
  • The incumbent is also required to stand and sit for extended periods of time.
