Job Purpose 

 

The Subcontracts Lead is responsible for developing, negotiating and evaluating company contracts on behalf of the organization. Thie role will be responsible to ensure both parties are complicit with the terms of the contracts as well as ensuring all contracts are in accordance with legislative requirements.  

Responsibilities

  • Displays a commitment to Waiward’s incident-free vision, values, and culture.
  • Reviews and evaluates the current supply chain processes and provides efficiency and improvement suggestions.
  • Negotiates and manages execution activities for subcontracts including quality issues, scheduling, and execution issues.
  • Coordinates and leads project kick-off meetings with subcontractors so all parties are aware of the specific project requirements.
  • Develops and maintains a subcontractor historical database for information collection and data analysis.
  • Manages subcontractor data and ensures information on file is current and up to date.
  • Develops a list of preferred subcontractors and assists in managing the relationships with preferred suppliers.
  • Assesses subcontracting requirements from an overall company perspective, not a project specific perspective, looking at the “Big Picture”.
  • Researches, monitors and communicates changes in the marketplace that may affect Waiward’s operations and position with our clients.
  • Attends and participates in internal project meetings to gain an understanding of possible upcoming subcontracting requirements.
  • Performs strategic sourcing and subcontract management that maximizes revenue opportunities and eliminates risks to Waiward.
  • Ensures compliance with RFP requirements while adhering to company policy and establishes practices to mitigate risks accordingly.
  • Set-ups and maintains subcontract management files in accordance with departmental standards.
  • Exercises due diligence in managing customer changes.
  • Exercises due diligence in managing Contract Change Notice (CCN) with subcontractors and updating appropriate paperwork accordingly.
  • Works closely with Project Managers and Project Coordinators to ensure all project requirements are satisfied.
  • Communicates with estimating to assist with bid and budget development.
  • Ensures that subcontractor acceptance of contract values, budget values, and change values are in place.
  • Completes subcontract close outs to facilitate timely invoicing of all costs.
  • May perform other related duties as assigned.

Qualifications

  • 5+ years of coordination or management experience in a related field.
  • Completion of a technical diploma or university degree in a related field of study (i.e. project management, supply chain management, business or engineering) would be considered an asset.
  • Achievement of an industry certification from a recognized institute such as the Project Management Institute (PMI) is also considered an asset.
  • Structural and/or Mechanical aptitude with specific experience in Industrial Construction is considered an asset.
  • Candidate should have a strong knowledge and practical experience using Microsoft Office Suite (i.e. Excel, Word, Power Point etc.).
  • Experience reviewing project documentation such as drawings, specifications and contracts.
  • Experience developing and maintaining relationships within an Industry Network of individuals and Companies.
  • A strong team player with excellent communication, organizational, and planning skills.
  • Ability to work independently and manage multiple deadlines.

Working Conditions

 

The incumbent is required to work in an office environment with moderate noise. The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

 

Physical Conditions

 

The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal for extended periods of time; and interact with several clients. The incumbent is also required to sit for extended periods of time.
