Job Purpose

The Project Coordinator is a critical member of the project team. The Project Coordinator is responsible for the accurate and timely completion of a variety of administrative tasks required to support the needs of the project teams, vendors and subcontractors. The position requires a strong team player with excellent communication, organizational and planning skills with initiative and the ability to work independently and manage multiple deadlines.


  • Displays a commitment to Waiward’s incident-free vision, values, and culture;
  • Solicits assignments from the project manager regularly to ensure proper work distribution;
  • Participates in project kick-off meetings as directed to ensure that all Waiward departments are aware of project requirements and have input to the successful execution of the project and that all records of meetings are maintained;
  • Sets-up and maintains project management files in accordance with departmental standards;
  • Exercises due diligence in managing customer changes;
  • Identify changes by reviewing all IFC drawings, drawing revisions, and customer requests;
  • Provide timely notice to customer in accordance with contract agreement;
  • Manage contract change costs through Waiward's system and invoice costs in a timely manner;
  • Prepares, submits, and updates budget costs as directed;
  • Ensures that customer acceptance of contract values, budget values, change values are in place to facilitate timely billing of all costs;
  • Prepares, maintains, updates project schedules in conjunction with drafting and production department scheduling;
  • Reviews all incoming customer drawings, assign division, Contract Change Notice (CCN), if applicable, and confirm schedule;
  • Manages collection and submission of CCN costs on an ongoing basis (minimum monthly);
  • Trouble shoots day to day projects issues as directed by the PM;
  • Attends production meeting on the Project Managers behalf;
  • Compiles data, managers, maintains, and approves project invoicing process on a timely basis;
  • Compiles data and information for historical statistical database, specifically client data and subcontract vendor data;
  • Performs estimating duties as requested;
  • Performs management of minor contract agreements as directed by the Project Manager (Monthly reporting and financial responsibility are ultimately the responsibility of the Project Manager);
  • Contributes to the subcontract vendor management as directed;
  • Budget development in line with corporate goals;
  • Scope listing and control;
  • PO creation and change management;
  • Schedule adherence;
  • Information transfer and control;
  • Audits unit price categories for specific projects as drawings are shop issued when directed by the Project Manager that you're working with;
  • Advise Drafting of corrections. Drafting will not update drawings;
  • Correct unit price categories in IMS;
  • Track net cost differential per division before and after audit;
  • coordinate material categories between estimators and drafting;
  • Provide Unit Price Category training for data control and drafting departments;
  • Assists team estimators with bid preparation, including Material take-off entries;
  • Sets up new job categories in SteelWorks;
  • Updates division weights in SteelWorks upon receipt of Material Prelim from Drafting;
  • Assists Subcontracts Coordinator with subcontractor electronic data requirements as directed bu the PM;
  • Occassional travel may be required to site.


  • Post Secondary training an asset;
  • Industry specific trade training an asset;
  • Excellent written and verbal communication skills;
  • Very strong analytical, attention to detail and problem solving skills;
  • Exceptional organization and time management skills;
  • Advanced Excel and spreadsheet skills;
  • Ability to work cooperatively and collaboratively with all levels of employees, management and external relationships.

Working Conditions

The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

Physical Requirements

The incumbent is required to have close visual acuity to perform an activity such as: viewing a computer terminal for extended periods of time and extensive reading. The incumbent is also required to stand and sit for extended periods of time.
