Job Purpose

Reporting directly to the President & CEO, the Executive Assistant provides executive support in a one-on-one working relationship.

Responsibilities

Values, Vision, and Strategy

  • A commitment to and impact establishing Waiward’s values, the Are You Ready? incident-free vision and culture, internal and external vision, and Waiward’s corporate strategy;

Corporate Strategy

  • Work with the President & CEO and the Executive Leadership Team on strategy development and implementation;

Production and Schedule

  • Completes administrative tasks for the President & CEO including: managing an active calendar, completing expense reports, composing and preparing correspondence, arranging travel plans, itineraries and agendas; compiling documents for travel related meetings.
  • Plans, coordinates and ensures President & CEO’s schedule is followed and respected.
  • Communicates directly, and on behalf of the President & CEO, with Board members, staff, and others.
  • Completes projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem-solving, and adjusting plans as needed.
  • Works closely and effectively with the President & CEO to keep him/her well informed of upcoming commitments and responsibilities, and following up appropriately. Maintains a sense of the issues taking place in the work environment and keeps the President & CEO updated.
  • Serves as project manager on strategic initiatives and projects, as directed by the President & CEO.
  • Assists in coordinating the agenda for the Executive Leadership Team meetings and staff meetings.
  • Takes a leaed role in effective office management and coordination of corporate social events in conjunction with the social committee.
  • Maintains the company website and various social media platforms to deliver external communications and ensure brand alignment together with the assistance of the Receptionst/Administrative Assistant.
  • Ensures discretion and confidentiality in all relationships
  • Maintains records of the board meetings, including board packages, minutes and follow-up on action items.
  • Publishes the corporate newsletter by gathering information, preparing and editing articles, designing graphic presentation; producing and distributing.

Qualifications

  • Office Administration post-secondary degree, diploma or certification.
  • 3-5 Years’ experience working as an Executive Assistant.
  • Current Class 5 Driver's License and the ability to occasionally work evenings/weekends to assist with Corporate functions.
  • Detail oriented and able to meet deadlines.
  • Ability to take on additional responsibilities as required.
  • Proactive approaches to problem-solving with strong decision-making capability.
  • Expert level written and verbal communication skills.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.

Working Conditions

The incumbent is required to work in an office environment with moderate noise. The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

 

Physical Requirements

The incumbent is required to perform light to medium work with a maximum exertion of 50 pounds. The incumbent is also required to communicate with internal and external vendors and clients; view a computer terminal for extended periods of time; and stand and sit for extended periods of time.
