Job Purpose
The Payroll Administrator is responsible to ensure accurate time entry of the shop and field employees and day to day administrative support while adhering to Waiward's policies and procedures and all federal/provincial legislation.

Bi-Weekly Shop and Office / Weekly Field Payroll duties

  • Set up shop/field/office new hires;
  • Scan and process shop time cards;
  • Process biweekly office and shop payroll;
  • Process weekly field payroll;
  • Prepare weekly source deduction remittances;
  • Process payroll layoffs as they occur;
  • Produce Records of Employment;
  • Perform required wage increases and pay adjustments as requested by management or as outlined in the union agreements;
  • Respond to shop employee questions and concerns;
  • Maintain electronic employee filing system;
  • Benefit administration for shop employees;
  • Set up shop RRSP's and pensions;

Monthly Payroll duties

  • Report on hiring's;
  • Shop and field garnishee remittances;
  • Union remittances;
  • Month end reconciliations;

Annual Payroll duties

  • Prepare T4's and applicable reconciliations;
  • Prepare Apprenticeship Tax Credit reports;


  • Provide managers and estimators with job hours upon request;
  • Produce and post any journal entries relating to payroll reconciliations;
  • Employment verification letters for field and shop staff;
  • Assist Human Resources with management of benefits;
  • Provide assistance as required;
  • Work with other Payroll Administrators, Human Resources, Assistant Controller and Field Site Administrators to ensure office, shop and field employees are fairly remunerated and that we are in compliance with all federal/provincial legislation and our collective agreements.


  • High School Diploma required;
  • Post secondary education in a related field an asset;
  • Experience with high-volume payroll is an asset;
  • 2 or more years’ experience in an office setting is required;
  • Very strong analytical, attention to detail and problem solving skills;
  • Exceptional organization and time management skills;
  • Previous experience working with accounting systems with strong MS Excel, Word, and Outlook skills;
  • Ability to accurately provide financial information in a timely manner;
  • Strong work ethic and ability to own ones accountabilities;
  • Ability to work cooperatively and collaboratively with all levels of employees, management and external relationships.

Working Conditions

The incumbent is required to work in an office environment with moderate noise. The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.


Physical Requirements

The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal for extended periods of time; and extensive reading. The incumbent is also required to stand and sit for extended periods of time.
