Position Overview:

The Contracts Assistant is primarily responsible for assisting the Contracts Management and Construction Contracts groups in generating bids and proposals in the Estimating phase. 

Responsibilities

  • Prepare/assemble proposals, bid forms, and miscellaneous documents for Project Managers for submission;
  • Assist with the preparation of Business Development meetings based on bid tracking;
  • Complete the CISC bid tracking information monthly for Senior Management;
  • Obtain quarterly closeouts from Accounting and verify job submission close out as per the approval of the Project Manager;
  • Sort, track, and extract required information for all incoming quotes for the Project Managers;
  • Manage bid document circulation process;
  • Update meeting agendas and take minutes;
  • Maintain company database of historical data including completed projects;
  • Ensure bids are submitted on time;
  • Track and communicate projects won and lost;
  • Complete all prequalification documentation;
  • Assist the Contracts Director, as required;
  • Assist Project Managers, as required.

Qualifications

  • High School Diploma;
  • Administrative experience an asset;
  • Detail oriented and able to meet deadlines;
  • Ability to take on additional responsibilities as required;
  • Effective time management skills;
  • Computer literacy (MS Word, Excel, Outlook, Adobe);
  • High level of integrity, confidentiality, and accountability;
  • Excellent written and verbal communication;
  • Ability to work within a team environment;
  • Ability to work cooperatively and collaboratively with all levels of employees, clients, and customers.
